This Privacy Policy describes how HiGroup ("we", "us", or "our") handles information in connection with the Quick Quote mobile application ("the App"), available on Google Play and the Apple App Store.

Quick Quote is a professional tool for tradespeople and artisans working on job sites. The App lets you capture voice notes and photos on site, then uses artificial intelligence to generate quotes, invoices, and intervention reports that you can easily share with your clients. The App is available in English, French, Spanish, and German.

We are committed to protecting your privacy and the confidentiality of your business and client information. This policy explains what data the App collects, how voice and photo content is processed by AI services, how documents are stored, and what rights you have under applicable data protection laws, including the General Data Protection Regulation (GDPR).

3. Overview — How Quick Quote Handles Your Data

Quick Quote is designed to help artisans work faster on site while keeping control of their business documents. In summary:

• On-site capture: You record voice notes and take photos directly from the App to document a job or intervention.
• AI document generation: Content you provide is processed by AI to produce structured quotes, invoices, and intervention reports.
• Local storage: Your projects, documents, and business settings are stored on your device.
• Client sharing: You choose when and how to share generated documents with your clients.
• No advertising: The App does not display ads.
• No sale of data: We do not sell, rent, or trade your personal or business information.

To generate documents, voice recordings, photos, and related text may be transmitted to third-party AI service providers. Details are described in Sections 4 and 5 below.

4. Data We Collect

The App collects and stores information necessary to create, manage, and share your professional documents. Depending on how you use Quick Quote, this may include:

Content you create on site

• Voice recordings: Audio captured when you describe a job, materials, labor, or intervention details
• Photos: Images taken on site to document work, materials, or conditions
• Notes and edits: Text you add or modify in quotes, invoices, and reports

Business & document data

• Company profile: Business name, logo, contact details, tax identifiers, and payment terms you enter
• Client information: Names, addresses, phone numbers, and email addresses you add for your clients
• Job site details: Project titles, addresses, descriptions, and intervention dates
• Generated documents: Quotes, invoices, intervention reports, line items, amounts, and status (draft, sent, paid, etc.)

App settings & preferences

• Language: English, French, Spanish, or German
• Currency and formatting: Preferences for amounts, dates, and document layout
• Notification preferences: Reminders and alerts you enable
• Pro status: Record of your Quick Quote Pro entitlement after in-app purchase
• Onboarding state: Whether you have completed the initial setup flow

Most of this data is stored locally on your device. When you use AI generation features, the relevant content is sent for processing as described in Section 5. We do not access your business data unless you voluntarily contact support or unless required for App functionality you explicitly request.

5. AI Processing

Quick Quote uses artificial intelligence to transform your voice notes and photos into structured professional documents (quotes, invoices, and intervention reports).

What is sent for processing

• Voice recordings you capture for a given job or document
• Photos you attach to a project or intervention
• Relevant context such as job description, client name, or line items you provide

How it is used

• Purpose: Transcription, analysis, and generation of quotes, invoices, and intervention reports
• Output: Structured text and document content returned to the App for your review and editing
• Control: You can review, edit, and approve all generated content before sharing it with a client

What we do not do

• We do not use your job-site content to train public AI models for unrelated purposes
• We do not use your voice or photos for advertising or profiling
• We do not publish your client or job-site data without your action

AI processing is performed by third-party providers acting as data processors on our behalf. Their handling of data is governed by contractual safeguards and is described further in Section 9.

6. Camera & Microphone

Quick Quote requires access to your device camera and microphone to support its core on-site workflow. These permissions are requested only when needed.

Microphone

• Purpose: Record voice notes describing work to be quoted, invoiced, or reported
• When used: Only while you actively record a voice note in the App
• Storage: Recordings are stored locally on your device and may be sent for AI processing when you request document generation

Camera & photo library

• Purpose: Capture or attach photos of job sites, materials, or completed work
• When used: Only when you choose to take a photo or select an existing image
• Storage: Photos are stored locally on your device and may be sent for AI processing when you request document generation

You can revoke camera or microphone permissions at any time in your device settings. Some App features will not work without the relevant permission.

7. Location Services

Location access is optional. Quick Quote may use your location to pre-fill a job site address or tag an intervention with geographic context.

How location is used

• With your permission: GPS coordinates may be used to suggest or fill in a job site address on quotes and reports
• Without GPS: You can always enter addresses manually — no location permission is required
• Local storage: Addresses and location tags you save are stored on your device as part of your projects

What we do not do with location

• We do not continuously track your movements
• We do not use location for advertising or analytics
• We do not share your real-time location with clients without your explicit action

8. What We Do Not Collect

Through our own systems, Quick Quote does not collect:

• Payment card or banking information (payments are handled by app stores)
• Advertising identifiers for targeted advertising
• Usage analytics via third-party advertising or tracking SDKs
• Your contacts list, unless you explicitly choose to pick a contact when sharing a document (handled by your device's native share sheet)

If you contact us by email at contact@higroup.systems, we will receive the information you choose to include in your message (such as your email address and the content of your inquiry). That communication is handled separately from App data and is used only to respond to your request.

9. Third-Party Services

AI service providers

To generate quotes, invoices, and intervention reports, the App sends relevant content (voice recordings, photos, and contextual text) to third-party AI service providers that process data on our behalf.

• Purpose: Speech-to-text, image analysis, and document generation
• Data sent: Content you submit for a specific generation request — not your full device contents
• Retention: Processed according to our agreements with providers; not retained longer than necessary for the requested operation
• Safeguards: Providers are bound by data processing agreements requiring appropriate security and confidentiality measures

Google Play & Apple App Store

When you download the App or make in-app purchases, Google or Apple may collect information according to their own privacy policies. HiGroup does not control data collected by these platform providers. Please refer to:

10. Sharing with Clients

Quick Quote lets you share generated quotes, invoices, and intervention reports with your clients through your device's native sharing options (email, messaging apps, etc.).

• Your choice: You decide when, what, and with whom to share
• Your responsibility: You are responsible for the accuracy of documents and for sharing them only with intended recipients
• Third-party channels: Once shared via email or messaging, delivery and storage are governed by the provider you choose (e.g. Gmail, WhatsApp)
• No automatic client access: Clients do not receive access to your App or device unless you explicitly send them a document

HiGroup does not monitor or control how you distribute documents to your clients after you initiate sharing.

11. Notifications

Quick Quote may send local notifications on your device, such as:

• Reminders about draft quotes or invoices
• Follow-up prompts for pending intervention reports
• Other alerts you enable in App settings

These are scheduled on your device. No notification content is sent through HiGroup servers unless you use optional cloud features in future versions (this policy will be updated accordingly). You can disable notifications at any time in the App or device settings.

12. In-App Purchases (Quick Quote Pro)

Quick Quote is free to download. Optional premium features are available through Quick Quote Pro, offered as in-app purchases processed entirely by Google Play (Android) and/or the Apple App Store (iOS).

Prices are displayed in your local currency by the app store at the time of purchase and may vary by country.

Payment & purchase data

• All payment processing, billing, and receipt validation are handled by Google or Apple
• The App does not collect or store payment card or banking details
• The App stores only a local Pro status flag on your device to unlock premium features after a successful purchase
• Restore purchases is handled through the respective app store's restore mechanism

Subscription management, cancellation, and refunds are subject to the policies of Google Play or the Apple App Store.

13. Data Security

We take reasonable measures to protect your business and client information:

• Local storage: App data is stored in your device's secure application sandbox
• Encrypted transmission: Data sent for AI processing and other network requests uses HTTPS/TLS
• Access control: Your documents remain on your device unless you share them or request AI processing
• No advertising SDKs: Reduced third-party data exposure compared to ad-supported apps

Because your projects may contain sensitive client and business information, we recommend protecting your device with a passcode or biometric lock and reviewing generated documents before sharing them.

14. Your Rights

Depending on your location, you may have rights under data protection laws such as the GDPR. Because most Quick Quote data is stored locally on your device, many rights can be exercised directly without contacting us.

Rights you can exercise on your device

• Access: View your projects, clients, voice notes, photos, and generated documents within the App
• Rectification: Edit business details, client information, and document content at any time
• Erasure: Delete individual projects or documents, or uninstall the App to remove all locally stored data
• Restriction / objection: Disable location, notifications, camera, or microphone permissions in device settings
• Withdraw consent: Revoke permissions or stop using AI generation features at any time

We will respond to legitimate requests within the timeframes required by applicable law (generally within one month under GDPR).

15. Children's Privacy

Quick Quote is a professional business application intended for tradespeople, artisans, and self-employed workers. It is not directed at children under 16, and we do not knowingly collect personal information from children.

If you believe a child has contacted us with personal information via email, please reach out at contact@higroup.systems and we will take appropriate steps to delete that correspondence.

16. Data Retention & Deletion

Data on your device

Projects, voice notes, photos, and generated documents are retained on your device for as long as you keep them in the App. You can delete all Quick Quote data by:

• Deleting individual projects or documents within the App, or
• Uninstalling the App from your device, or
• Clearing the App's storage in your device settings

AI processing data

Content sent for AI document generation is retained only as long as necessary to perform the requested operation and in accordance with our agreements with AI providers. It is not kept for unrelated purposes.

Support correspondence

If you email us, we retain your message and our response only as long as necessary to handle your inquiry and comply with legal obligations, after which it is deleted or anonymized.

Purchase records

Transaction records are retained by Google or Apple according to their respective policies. HiGroup does not store payment details.

17. International Users

Quick Quote is available in multiple countries. Hi Group SARL is established in France. When you use AI generation features, your content may be processed by service providers located outside your country, including outside the European Economic Area (EEA).

Where required, we rely on appropriate safeguards for international transfers, such as Standard Contractual Clauses approved by the European Commission, and contractual obligations requiring providers to protect your data.
